When you follow the IRS guidelines under Code Section 62(c), these reimbursements become tax-free for your employees and tax-deductible for your business.

Without an accountable plan, many business expenses you pay personally may go undeducted since unreimbursed employee expenses are no longer deductible under current tax law.   2. Substantiation: You need proof! The employee receiving the reimbursement must substantiate the amount of the expenses within a reasonable period (at least quarterly). This can include providing a mileage log, providing receipts, providing a breakdown of home office use & utilities. 

  3. Return of Excess: If the employer gives the employee an amount above what has been substantiated, it either must be returned within a reasonable period or included as wages to the employee.


Home Office Expenses Under an Accountable Plan 🏠

Your reimbursable home office expenses may include portions of:

  • Mortgage interest or rent

  • Property taxes

  • Utilities

  • Internet service

  • Home insurance

  • Repairs and maintenance

  • Depreciation

The key is calculating the business-use percentage of your home. If your home office takes up 10% of your home's square footage, you can get reimbursed for 10% of these expenses.
